Contact App: How to Add (and Delete) a Solicitor to a Contact Record

Introduction 

Adding a solicitor to a contact record will identify who is responsible for communication with the contact. This will prevent confusion and inform others in the organization who is communicating with what contact.



Prerequisites 

To begin leveraging the add/deletion functionality, CharityEngine recommends ensuring you have established your solicitors within your contact record. To learn more about creating solicitors, click here. 


Instructions - Manually Add/Remove a Solicitor to an Individual Contact Record

Step 1: To add a solicitor to a contact record, navigate to the contact summary screen of the contact and click Edit from the top right-hand corner of the contact record. 



Step 2: Click on assign contact from the Account Manager field from the General tab.


Step 3: A pop-up will appear for you to search for the contact. Locate the name of your solicitor by entering the name. Click on select


Step 4: By selecting the contact, they will be assigned as the solicitor of the contact. Click SAVE to secure your change. 


Step 5: To manually remove the Solicitor/ Account Manager, click on Actions and select Remove (or Change to modify). Click on SAVE to secure your changes. 

Note: If the solicitor toggle is toggled to yes, that does not mean that the contact has a solicitor, but that the contact themselves is a solicitor.



Instructions - Bulk Addition for a Solicitor to Contact Records

Step 1: To add a solicitor to several contact records, navigate to the Contacts App > Organizations & People > Search & Manage > complete a search to identify your population in which an individual solicitor should be applied.

Step 2: Ensure your view is modified to Viewing: Summary in the top right corner of your returned results. 

Step 3: Use the check box in the top left-hand corner of the listing screen to select all contact records.

Step 4: Use the down arrow to select Assign Solicitor

Step 5: Within the pop-up, enter in the name of the solicitor, select and click PROCESS to assign. 


Instructions - Bulk Deletion for a Solicitor to Contact Records

Step 1: To bulk delete solicitors, to several contact records, you will need to leverage the Workflow & Automation: Import to remove solicitors in bulk. To begin, ensure you have a listing of your CharityEngine contact IDs you wish to have removed. Then navigate to the Automation & Workflow App > General > Import & Export > Create New (top right hand corner) > Import

Step 2: Select Import To: People

Step 3: Click on the add Fields and select Contact Id and Solicitor Contact Id

Step 4: Then click download import template and add all CharityEngine Contact Ids. Replace the Solicitor Contact Id with a value of 0 - this will override the existing Solicitor ID and replace with null. 

Step 5: Save the excel file to your locate drive. Click on NEXT to begin the data append/bulk deletion process. 

Step 6: Click on Upload a File 

Step 7: Click on Chose File > locate your file created in step 5. 

Step 8: Click on NEXT to proceed. 

Step 9: Enter a Name for your job and click NEXT.

Step 10: Verify and click FINISH to initiate your bulk deletion process.

Instructions - Viewing All Contacts Assigned to Me/Solicitor 

As a solicitor, if your CharityEngine contact record is assigned as a solicitor and contacts have been assigned to you, you can leverage the Contacts transaction listing screen to easily locate your assigned contacts. 

Step 1: To review your assigned contacts, navigate to the Contacts App > Organizations & People > Contact. 

Step 2: In the quick filter, as a solicitor you will have a filter option Show. From here, you can select mine. This will provide you with all contacts assigned to you.
