Terms of Service — Gmail Integration for CharityEngine CRM

These Terms of Service (“Terms”) govern your use of the Gmail integration feature (“Integration”) offered by CharityEngine CRM (“CharityEngine,” “we,” “us,” or “our”). By enabling the Integration, you (“you,” “your,” or “User”) agree to be bound by these Terms in addition to the general CharityEngine CRM Terms of Service and Privacy Policy. 

 

  1. Description of the Service

The Gmail Integration allows you to connect your Google account to CharityEngine CRM to: 

  • Import and synchronize email messages, attachments, and metadata into your CRM records. 
  • Send emails from within CharityEngine using your Gmail account. 
  • Associate Gmail correspondence with donor or constituent profiles. 
  • Enable CRM-driven workflows based on Gmail activity. 

 

  1. Eligibility

You must: 

  • Have an active CharityEngine CRM account in good standing. 
  • Have a valid Google account with Gmail enabled. 
  • Be authorized to connect the Google account to CharityEngine (e.g., you own the account or have delegated access). 

 

  1. Permissions and Google API Data

When you connect Gmail to CharityEngine, you grant the Integration access to certain Google data via the Google API Services. 

 
The Integration may: 

  • Read access to email messages (Gmail read-only or read/write). 
  • Send email on your behalf. 
  • Access to email metadata such as headers, labels, and timestamps. 

We use Google user data solely for the purposes of providing and improving the Integration in compliance with: 

  • Google API Services User Data Policy 
  • Google Workspace Developer Agreement 
  • Applicable data protection laws (including GDPR, CCPA, and PCI DSS standards where relevant) 

 

  1. Data Use and Privacy
  • No Unauthorized Use: We do not use Gmail content for advertising or profiling. 
  • Data Retention: Gmail data imported into CharityEngine is retained according to your organization’s CRM retention settings. 
  • Security: Gmail data is transmitted over encrypted channels (TLS 1.2+). Stored data is encrypted at rest using industry-standard encryption. 
  • PCI Alignment: No Primary Account Numbers (PAN) or Sensitive Authentication Data (SAD) should be transmitted via Gmail through this Integration. 

 

  1. User Responsibilities

You agree to: 

  • Maintain the confidentiality of your Google account credentials. 
  • Not connect an account you are not authorized to use. 
  • Ensure that any personal data transferred into the CRM complies with your organization’s data governance and legal obligations. 
  • Promptly disconnect the Integration if the Gmail account is compromised. 

 

  1. Limitations

The Integration: 

  • May be subject to rate limits imposed by Google. 
  • May not support all Gmail features. 
  • Relies on the availability of Google API services — outages or changes by Google may affect functionality. 

 

  1. Suspension and Termination

We may suspend or terminate your use of the Integration if: 

  • We detect abuse, security risks, or legal violations. 
  • Google revokes API access or changes service terms. 
  • You violate these Terms or our main CRM Terms of Service. 

 

  1. Disclaimers
  • The Integration is provided “as is” and “as available.” 
  • CharityEngine is not responsible for Google API outages, Gmail service interruptions, or changes to your Google account. 
  • We make no warranties beyond those required by law. 

 

  1. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated via email or CRM notifications before they take effect.
